Customer debtor accounts

It is recommended that a debtor account be created for each individual customer. This allows you to keep track of all jobs done for a specific customer. A debtor account can be created directly from the customer’s window.
 

Creating a debtor account from a customer record.

In the People menu, click on the Customers icon and the Customers window will be displayed.

 

 
Highlight the customer that the debtor account is to be created for and click Change.
 
Now click the  button next to Account Number. The Create Debtor (from Customer) window will now be displayed.

 

Fill in any other required information that might not have been entered in the Customer window and give the Debtor account a name.
 
Click OK to save the information and create a debtor account.
 

Bulk Creating records from Debtor accounts

When you setup your Veculim after importing the Debtor accounts from the accounting system, they still need to be categorized into customers, companies and insurer accounts. These records also need to be created on Veculim.
We have the Bulk create feature to allow you to create multiple records at the sam time for one category for example all the Companies.
To start using this feature navigate to the Accounting tab and click on the Debtors icon which will display the following window

 


Click on the Bulk Create button to start creating records

 

On the left hand side you will see al the Debtors.
If you want to start with creating the Customers first, select the debtor on the left and then click on the arrow in the middle to drag it to the top right hand side.
This will be to create the customer accounts for those debtors without having to create a company record as well. So in other words the individuals.
Once you have selected all the customers to create records for, simply click on the "Change type and create records" button.
 
Note: If all the customers and companies are grouped together as customers(individuals) you need to change the customers to companies so then you need to enter the field in the middle "Selected debtors to change to" - Companies
The window will now look like follow

 

 

Select the Company on the left you wish to create a Company record for, click on the arrow in the middle(bottom)  to drag the record to the right hand side and then click on the "Change type and create records" button.
Creating Insurer records from the Debtor account works differently due to the extra information that needs to be added to the Insurer record.
